1. Who We Are
E-Safe is a privately operated community information website. E-Safe provides public information, community awareness content, and veterans resource information.
E-Safe is not a law enforcement agency, government department, emergency response service, or VA agency, nor a representative of any such entity.
2. Scope
This Privacy Policy applies to the E-Safe website, its pages, forms, account features, search features, and information services.
This Privacy Policy also applies to information a user provides while using any veterans related information feature made available through the website.
3. Data We Collect
E-Safe limits data collection to what is reasonably needed to operate the website, respond to users, protect the site, and provide the information services offered through the website.
The data E-Safe collects includes the following:
a. Name and email address
Name and email address that a user provides through a contact form, account feature, or direct communication.
b. Technical and security data
IP address, browser type, device type, access timestamps, and basic log data used for website security, abuse prevention, troubleshooting, recordkeeping, and lawful reporting when appropriate.
c. Information entered by the user
Information a user chooses to enter into a contact form, request field, search field, or similar feature made available through the website in order to receive information or assistance from the website.
E-Safe does not collect medical information.
E-Safe does not collect financial account information or payment card information.
E-Safe does not collect a user’s contacts, address book, family history, genetic information, or precise device geolocation.
E-Safe does not require a user to provide more personal information than name, email address, and the limited technical and security data automatically logged for website protection and operation.
Users may not submit another person’s private, family, health, or contact information through the website unless they have the legal right and permission to do so.
4. How We Use Data
E-Safe uses collected data only to:
a. respond to user questions or requests
b. provide access to website information services
c. operate search, contact, and account related features
d. return the information requested by a user through a search field, request field, or veterans related information tool
e. protect the website from abuse, fraud, spam, and security threats
f. maintain logs, records, and backups needed for website operations
g. comply with legal obligations and protect the rights, safety, and security of E-Safe, its users, and the public
E-Safe does not sell personal information for money or other profit.
E-Safe does not use personal information for targeted advertising, behavioral advertising, profiling, or similar transactions that do not involve money but could influence what content, notices, or offers a user sees.
E-Safe does not create or share de identified, anonymized, or pseudonymized user datasets for marketing or unrelated commercial purposes.
5. When Data Is Shared
E-Safe does not share or sell personal information to marketers, advertisers, data brokers, or business partners for their own use.
Limited data may be processed by service providers only as needed to operate, secure, maintain, or support the website. Those providers may include:
a. Namecheap, Inc. and EasyWP
For website hosting and infrastructure support.
b. CleanTalk Security
For spam screening, abuse prevention, firewall protection, and related security functions.
c. Website email delivery provider
Only when needed to send a message generated by a website form, account feature, or support request.
d. Google LLC through Site Kit by Google, if enabled for public measurement tools
Only for technical website measurement or analytics functions, if those functions are enabled on the public website.
E-Safe may also disclose limited information when required by law, court order, lawful request, or when reasonably necessary to report threats, criminal misuse of the website, fraud, abuse, or other security incidents to law enforcement or appropriate authorities.
6. Third Party Use and Disclosure Limits
No third party receiving user information through E-Safe may use or disclose that information for its own unrelated purpose without the user’s consent, unless disclosure is legally required.
This restriction also applies to any de identified, anonymized, or pseudonymized user information created or processed through E-Safe.
Third party vendors and contractors that process user data for E-Safe are required to follow privacy and disclosure commitments that are materially consistent with this Privacy Policy.
7. Data Retention
E-Safe keeps personal data only for as long as reasonably needed to operate the website, maintain security, comply with law, and honor user requests.
a. Contact and account related data
Contact and account related data may be kept while the related account, inquiry, or support need remains active.
b. Dormant accounts
If an account is dormant for 24 months, E-Safe may treat the account as inactive and permanently delete or irreversibly anonymize the associated personal data within 45 days after that dormant status is applied, unless the user reactivates the account or asks E-Safe to keep it open before deletion.
c. Security and access logs
Security and access logs may be kept for up to 12 months, unless a longer period is reasonably needed for a security investigation or legal obligation.
d. Backup copies
Backup copies are kept only for limited disaster recovery purposes and are purged within the same deletion window described in Section 8 after a verified deletion request.
8. Access, Correction, and Permanent Deletion
A user may request access to, correction of, or permanent deletion of the user’s personal data held by E-Safe.
To request permanent deletion, the user must email privacy@e-safe.us and state that the user wants permanent deletion of the account and all associated personal data.
After E-Safe verifies the request, E-Safe will permanently delete 100 percent of the user’s personal data under E-Safe’s control, including all non VA data connected to that user.
Deletion will be completed within 30 days of a verified request, and in all cases no later than 45 days after the verified request is received.
9. Data Security and Breach Notice
E-Safe uses reasonable administrative and technical safeguards designed to protect personal data, including access controls, encrypted connections where supported, logging, and security monitoring.
No system can guarantee complete security.
If E-Safe confirms a data breach affecting personal data, E-Safe will notify affected users without unreasonable delay. The notice will explain what happened, what information was involved, what steps E-Safe has taken, and what further steps the user may take, if any.
10. Ownership Change or Closure
If E-Safe is sold, transferred, merged, reorganized, or closed, E-Safe will notify users before any material change in how personal data is handled.
Before such a change takes effect, each affected user will have at least one of the following options:
a. request secure disposal of personal data
b. download available account related information, if applicable
c. close the account before the change takes effect
Any new owner or successor must honor privacy protections that are materially consistent with this Privacy Policy, or must obtain user consent before making a materially different use of personal data.
11. Changes to This Privacy Policy
If E-Safe makes a material change to this Privacy Policy, E-Safe will notify users before the change takes effect by posting a notice on the website and, when practical, by email or in account notice.
The updated Privacy Policy will show the new effective date.
